The Arts-ray Series: Outdoor Event Planning Workshop with John Bayley

To attract new audiences and engage the community, arts groups, big and small, are increasingly putting emphasis on presenting outdoor events of various scale. What are the key issues to be considered when planning and organizing street arts presentations?

 

Sydney Festival is known internationally for its outdoor event programme: from the Festival First Night, and the iconic Domain Concert Series which is now in its 36th year, to tone off events in quirky locations.

 

A workshop co-presented by the West Kowloon Cultural District Authority and the Hong Kong Arts Administrators Association, Mr. John Bayley, Head of Production of Sydney Festival, will talk about how he managed the logistics challenges when presenting outdoor events, including solving the dilemma of budgets and staffing which is especially relevant to smaller arts groups to achieve the best creative outcome for street shows.

 Choosing outdoor event sites and gaining permission to present the events.

 Key issues to consider when producing an outdoor event.

 Staffing structure and how to expand it from planning to operational.

John Bayley, Head of Production of Sydney Festival

John Bayley's primary professional commitment has been providing an environment in which artists can present their best work.

 

He was the Production Manager of Marion Street Theatre for five years, and joined the Sydney Theatre Company as Technical Director for ten years. John is currently the Head of Production of the Sydney Festival, where he works for in the past 11 years.

 

During his tenure with the Sydney Theatre Company and the Sydney Festival, he has been in charge of upscaling both technical departments to allow exponential growth in both organizations. He has also involved with the design of the Sydney Theatre Walsh Bay (an 800 seat purpose-built drama theatre) and the redesign of the Domain as a performance precinct (a 50,000 capacity outdoor space in the centre of Sydney). A veteran of in and outdoor productions of various sizes, he has been responsible for the presentation of over 900 events in Sydney at the Sydney Festival and Sydney Theatre Company alone, including the creation of Festival First Night, an opening event for Sydney Festival which attracts 200,000 people annually.

 

John has lectured at the National Institute of Dramatic Art (NIDA), Sydney University, University of Technology Sydney and the West Kowloon Cultural District Authority, Hong Kong.
